Office Administrator

Large law firm seeks (regional) Office Administrator for its Los Angeles location. The successful candidate must possess a strong professional presence, emotional intelligence, sound judgment, and excellent leadership and diplomacy skills. The ideal candidate will continue cultivating Firm culture by fostering an environment of inclusion, teamwork, and excellence in client service. Law firm management experience and a bachelor’s degree are required. CLM is a plus.

The Office Administrator will oversee day-to-day operations in the LA office, including human resources, facilities, and administrative support functions. This position reports to the National Director, who works closely with the LA Office Managing Partner, other attorneys, and departmental leaders and directors throughout the Firm, to identify and plan for changing needs to ensure the coordinated delivery of effective staff services.

Human Resources

  • Works in concert with the HR team and department managers to ensure that office staffing meets local and firmwide requirements.
  • In conjunction with the LA Manager of Administration, oversees staff recruitment, selection, training and onboarding, employee relations management, performance evaluations, and salary/bonus administration.
  • Monitors employee morale: develops and institutes programs to help maintain continued job satisfaction.
  • Performs periodic market reviews to ensure staff compensation structure remains competitive. 

Operations & Facilities

  • Ensures compliance with Firm policies and procedures.
  • Manages local vendor relationships.
    Works with the Office Managing Partner and department chairpersons on space planning, records storage and transfers, office allocations, and other administrative management functions.
  • Works closely with the building’s property management team to ensure that the office space is meeting all aspects of the firm’s needs, including safety, efficiency, and aesthetics.
  • Identifies areas and systems available for improvement, evaluates options, and recommends solutions.
  • Works with accounting department to develop annual budgets. Monitors and manages office budget through variance analysis. Reviews and approves expenses and invoices.

Administrative Support Functions

  • Participates in weekly Administration Team calls and assists with projects tasked to the team.
  • Oversees office support functions including reception, conference services, records services, word processing, mailroom services, and supplies.
  • Coordinates various office events, such as holiday parties, attorney summer parties, staff appreciation events, retreats, and other gatherings.

Requirements – Office Administrator

  • Bachelor’s degree required, and prior law office management experience preferred.
  • Proven track record of identifying and analyzing complex issues and problems in management areas, and recommending and implementing solutions.
  • Excellent oral and written communication skills.
  • Attention to detail and excellent organizational skills.
  • Ability to work under pressure in a fast-paced environment.
  • Strong time-management skills and ability to multi-task.
  • Self-motivation and ability to work with minimal supervision.
  • Maintain the highest level of confidentiality in all matters.
  • Ability to work effectively in a team environment.

Compensation

$230,000+ annually, plus discretionary bonus, comprehensive benefits and employee insurance packages, pension plan, parking, and more.
